A shared system overview for decisions and prioritisation

Normavo visualises system lists, ownership, costs and regulatory requirements in a system map, lists and views easily keep up to date. Start with one defined area and build on it in your own pace.

Illustration: five scattered sources, system lists in for example Excel, a contract register, an integration sketch, undocumented knowledge and a classification document, are brought together into one shared system overview where each item is consolidated, linked and has a confirmed owner

For organisations with many systems and multiple owners

IT-intensive organisations

Systems, licences and integrations where cost, overlap and ownership need to be tracked

Decentralised corporate groups

Compare systems, owners and dependencies across companies without requiring everyone to work the same way

Authorities and regulated industries

System ownership, classification and evidence for audit, risk and management reporting

The information usually exists, just not in one place

When system information is spread across different lists and different people, every new question means compiling it all over again

Without a shared picture, it is difficult to see what overlaps, where work is being duplicated, which supplier dependencies exist and what should be done first

Hard to set the right priorities

Without a system owner, it is unclear who should keep system details up to date and follow up on the next action

Responsibility is unclear

Excel files, documents, personal lists and knowledge held by a single person; the details may well be correct without providing a shared picture

System information is scattered

A shared system overview you can actually work in

We structure your existing information and fill the gaps with input from the right people, so that IT, finance and operations all work from the same starting point

See how your systems connect through data flows, integrations and suppliers, so that the same overview can be used for audits, risk management and change programmes

Data and dependencies

Example of dependencies: TGA DW is linked to ERPX, TRACK, ASPER Search and RXS

Assess your systems against your own requirements, the Swedish Cybersecurity Act (NIS2) or ISO 27001, and see area by area where the gaps are and what needs improving

Requirements assessment

Example: cybersecurity assessment of the system TGA DW in six areas: scope, governance and risk, protection and operations, incidents, suppliers, and data and logging

See which systems have a confirmed owner, what classification has been carried out and which weaknesses, if any, should be addressed first

Start where a decision already itches

A well-structured IT landscape is of course ideal, but there is often still room for improvement in areas such as budgeting, cost savings, reviews, audits and AI initiatives. This is the situation we typically encounter when a collaboration works well:

You can set aside the time and budget needed for successful delivery

An intention to use the results for decisions and/or change

Someone internally who owns the issue and can answer questions along the way

There is a clearly defined problem or area to start with

Consider this first

An initiative (in data or AI, for example) requires you to know which systems, data sources, etc. are in place

Costs, licence overlap or consolidation need to be analysed

An acquisition, an audit or a budget cycle creates a window of opportunity

System ownership, classification or status needs to be clarified

Several departments or units need the same view of the systems

Is this true?

Get started with a defined pilot area

The first step is usually a more focused piece of work within a priority area, to produce useful results before deciding on next steps

Together, we review how to move forward

Decision

Step 4

You get access to the solution, can work in it and check the results against the criteria

Evaluation period

Step 3

We structure the information you already have and build the first system overview

Implementation

Step 2

We define the scope, agree on criteria and schedule a decision date

Scoping

Step 1

What information you have today (even if it is incomplete)

Who owns the issue internally

Any deadline or event that makes the issue pressing

An area or problem you want a better grip on

Bring this to an initial conversation

Material you can use in discussions with management, in reviews or ahead of your next investment decision

Prioritised actions with an owner and a deadline

A list of where owners, classification or other information is missing

A system overview of the area you have chosen

What the pilot can give you

Two colleagues at the Normavo office sitting at a computer, working together

An experienced team close to decision-making and delivery

Normavo builds on many years of experience of IT mapping for private- and public-sector organisations, which all too often ended with handing over results that were never updated and therefore gradually became outdated

To keep creating long-term value, we help customers structure existing information, get up and running with our platform and use it regularly, and make sure the information is maintained

During the engagement

One shared source instead of new lists

The mapping is gathered in one place with owners, gaps and status, so your analysis builds on something the client recognises

1

At handover

The results stay with the client

When the engagement ends, the information remains in an environment the client can work in, rather than in a report that quickly goes out of date

2

After delivery

A natural reason to return

Following up on actions and gaps makes the next conversation concrete, rather than relying on the client to get in touch

3

Book partner call

Normavo can give you and your client a shared working base for mapping, handover and follow-up, without you having to create your own documents for every engagement

Frequently asked questions

  • Excel or SharePoint may be enough if you only have a few systems and the information has clear owners, a working review process and is actually used in decision-making. We start with what you already have and make the information shared, traceable and possible to follow up. The point is not to replace your work, but to reduce the risk of the overview becoming outdated.

  • Normavo complements your existing tools. We connect systems, owners, costs, data, requirements and actions in one shared information base. In an initial conversation, we look at what your tools already cover and where information is missing.

  • Yes, choose a defined area with a specific decision to support. You can compare units without them having to work the same way from the outset.

  • The pilot is a clearly scoped engagement at a fixed price, set according to the complexity of the area rather than the number of systems. The price is confirmed in writing before you decide and does not change during the pilot.

  • You will need a contact person and someone responsible for access; preferably the same person. When needed, we check-in with the relevant system owners, finance or security. We do the majority of the structuring work; the exact resource plan is agreed before we start.

  • The system overview is kept up to date through clear ownership and set dates for the next review. You update the information on an ongoing basis, and we follow up on changes at agreed reviews.

  • We have security and risk documentation covering operations, access, data protection, subcontractors, incident management, service levels, and data export and exit.
